The proper format for essays.

Below are guidelines for the formatting of essays based on recommendations from the MLA (the Modern Language Association).

  • Fonts : Your essay should be word processed in 12-point Times New Roman fonts.
  • Double space : Your entire essay should be double spaced, with no single spacing anywhere and no extra spacing anywhere. There should not be extra spaces between paragraphs.
  • Heading : In the upper left corner of the first page of your essay, you should type your name, the instructor's name, your class, and the date, as follows: Your Name Mr. Rambo ENG 1001-100 18 January 2022
  • Margins : According to the MLA, your essay should have a one-inch margin on the top, bottom, left, and right.
  • Page Numbers : Your last name and the page number should appear in the upper right corner of each page of your essay, including the first page, as in Jones 3 . Insert your name and the page number as a "header." Do not type this information where the text of your essay should be.
  • Title : Your essay should include a title. The title should be centered and should appear under the heading information on the first page and above the first line of your essay. The title should be in the same fonts as the rest of your essay, with no quotation marks, no underlining, no italics, and no bold.
  • Indentation : The first line of each paragraph should be indented. According to the MLA, this indentation should be 1/2 inch or five spaces, but pressing [Tab] once should give you the correct indentation.

A Chicago title page isn’t required—often it’s sufficient to just include your title at the top of the first page—but if you’re asked to include one, Turabian provides guidelines for how to present it.

All text on the title page should be center-aligned and double-spaced, and written in the same font as the rest of your text. The title should appear about ⅓ of the way down the page, in headline capitalization and in bold.

If you have a subtitle, the main title ends with a colon and the subtitle appears on the following line, also in bold and the same size as the main title.

About ⅔ of the way down the page, add any information your instructor requests you to include—your name, student code, the course name and code, the date, etc. Each new piece of information appears on a new line.

The title page should not have a page number, but should be included in the page count—in other words, the page numbering starts on page 2.

  • Summary of results

If you use different levels of heading (e.g., chapters, sections, subheadings), make sure your presentation makes clear which type of heading each one is.

All headings of one level should be presented the same way, and higher-level headings should stand out more from the text. For example, you might use a larger font for chapter headings, bold for section headings, and italics for subheadings:

Prose quotations of five or more lines (or more than 100 words), as well as poetry quotations of two or more lines, are presented as block quotes .

Block quotes do not use quotation marks . Instead, a blank line separates them from the surrounding text on both sides and they are indented by an additional ½ inch. Unlike the rest of the text, they are not double-spaced.

Chicago recommends using words, not numerals, for numbers lower than 100. For example, you would write “ninety-five,” not “95.” But numerals should still be used when you’re referring to a specific measurement (e.g., “15 cm”) and when using decimals (e.g., “1.5”).

Acronyms should be introduced the first time you refer to the thing they stand for:

After this point, you can use the acronym alone.

Neither numerals nor acronyms should be used at the beginning of a sentence. Either rewrite the sentence so that the numeral or acronym appears elsewhere, or write out the full phrase or number:

  • 100 people responded to the survey.
  • One hundred people responded to the survey.
  • The survey received 100 responses.

Chicago provides guidelines for not one but two citation styles : author-date and notes and bibliography.

In author-date style , citations are placed directly in the text in parentheses . In this style, you have some flexibility about how exactly to integrate the citation:

In notes and bibliography style, citations appear in Chicago footnotes or endnotes (the format is identical either way), and the reader is referred to them by superscript numbers in the text.

Footnote and endnote numbers appear at the end of the relevant clause or sentence, after any punctuation except a dash .

Endnotes appear on their own page just before the bibliography ; footnotes appear at the bottom of each page. Footnotes should be separated from the text by a short rule and be presented in the same font size as the main text, or smaller. Word’s footnote function automatically creates footnotes like this:

At the end of your paper, you’ll likely include a bibliography (for notes and bibliography style) or a reference list (for author-date).

Bibliographies and reference lists are not double-spaced, but leave a blank line between entries.

If an entry extends onto a second line, a ½ inch indent should be applied to all but the first line of the entry.

Chicago Bibliography

If you have to create a Chicago style annotated bibliography , follow the same format as a normal bibliography, but indent and double-space the annotations under each source reference.

Turabian style is a version of Chicago style designed specifically for students and researchers. It follows most Chicago conventions, but also adds extra guidelines for formatting research papers , theses and dissertations .

  • A reference list is used with Chicago author-date citations .
  • A bibliography is used with Chicago footnote citations .

Both present the exact same information; the only difference is the placement of the year in source citations:

  • In a reference list entry, the publication year appears directly after the author’s name.
  • In a bibliography entry, the year appears near the end of the entry (the exact placement depends on the source type).

There are also other types of bibliography that work as stand-alone texts, such as a Chicago annotated bibliography .

In Chicago author-date style , your text must include a reference list . It appears at the end of your paper and gives full details of every source you cited.

In notes and bibliography style, you use Chicago style footnotes to cite sources; a bibliography is optional but recommended. If you don’t include one, be sure to use a full note for the first citation of each source.

Footnotes appear at the bottom of the relevant page.  Endnotes appear in a list at the end of the text, just before the reference list or bibliography. Don’t mix footnotes and endnotes in the same document: choose one or the other and use them consistently.

In Chicago notes and bibliography style , you can use either footnotes or endnotes, and citations follow the same format in either case.

In APA and MLA style , footnotes or endnotes are not used for citations, but they can be used to provide additional information.

Chicago format doesn’t require you to use any specific font, as long as you choose something readable. A good standard choice is 12 pt Times New Roman.

MLA Style specifies guidelines for formatting manuscripts and citing research in writing. MLA Style also provides writers with a system for referencing their sources through parenthetical citation in their essays and Works Cited pages. 

Writers who properly use MLA also build their credibility by demonstrating accountability to their source material. Most importantly, the use of MLA style can protect writers from accusations of plagiarism, which is the purposeful or accidental uncredited use of source material produced by other writers. 

If you are asked to use MLA format, be sure to consult the  MLA Handbook  (9th edition). Publishing scholars and graduate students should also consult the  MLA Style Manual and Guide to Scholarly Publishing  (3rd edition). The  MLA Handbook  is available in most writing centers and reference libraries. It is also widely available in bookstores, libraries, and at the MLA web site. The preparation of papers and manuscripts in MLA Style is covered in part four of the  MLA Style Manual . Below are some basic guidelines for formatting a paper in  MLA Style :

General Guidelines

  • Type your paper on a computer and print it out on standard, white 8.5 x 11-inch paper.
  • Double-space the text of your paper and use a legible font (e.g. Times New Roman). Whatever font you choose, MLA recommends that the regular and italics type styles contrast enough that they are each distinct from one another. The font size should be 12 pt.
  • Leave only one space after periods or other punctuation marks (unless otherwise prompted by your instructor).
  • Set the margins of your document to 1 inch on all sides.
  • Indent the first line of each paragraph one half-inch from the left margin. MLA recommends that you use the “Tab” key as opposed to pushing the space bar five times.
  • Create a header that numbers all pages consecutively in the upper right-hand corner, one-half inch from the top and flush with the right margin. (Note: Your instructor may ask that you omit the number on your first page. Always follow your instructor's guidelines.)
  • Use italics throughout your essay to indicate the titles of longer works and, only when absolutely necessary, provide emphasis.
  • If you have any endnotes, include them on a separate page before your Works Cited page. Entitle the section Notes (centered, unformatted).

Formatting the First Page of Your Paper

  • Do not make a title page for your paper unless specifically requested or the paper is assigned as a group project. In the case of a group project, list all names of the contributors, giving each name its own line in the header, followed by the remaining MLA header requirements as described below. Format the remainder of the page as requested by the instructor.
  • In the upper left-hand corner of the first page, list your name, your instructor's name, the course, and the date. Again, be sure to use double-spaced text.
  • Double space again and center the title. Do not underline, italicize, or place your title in quotation marks. Write the title in Title Case (standard capitalization), not in all capital letters.
  • Use quotation marks and/or italics when referring to other works in your title, just as you would in your text. For example:  Fear and Loathing in Las Vegas  as Morality Play; Human Weariness in "After Apple Picking"
  • Double space between the title and the first line of the text.
  • Create a header in the upper right-hand corner that includes your last name, followed by a space with a page number. Number all pages consecutively with Arabic numerals (1, 2, 3, 4, etc.), one-half inch from the top and flush with the right margin. (Note: Your instructor or other readers may ask that you omit the last name/page number header on your first page. Always follow instructor guidelines.)

Section Headings

Writers sometimes use section headings to improve a document’s readability. These sections may include individual chapters or other named parts of a book or essay.

MLA recommends that when dividing an essay into sections you number those sections with an Arabic number and a period followed by a space and the section name.

MLA does not have a prescribed system of headings for books (for more information on headings, please see page 146 in the MLA Style Manual and Guide to Scholarly Publishing , 3rd edition). If you are only using one level of headings, meaning that all of the sections are distinct and parallel and have no additional sections that fit within them, MLA recommends that these sections resemble one another grammatically. For instance, if your headings are typically short phrases, make all of the headings short phrases (and not, for example, full sentences). Otherwise, the formatting is up to you. It should, however, be consistent throughout the document.

If you employ multiple levels of headings (some of your sections have sections within sections), you may want to provide a key of your chosen level headings and their formatting to your instructor or editor.

The following sample headings are meant to be used only as a reference. You may employ whatever system of formatting that works best for you so long as it remains consistent throughout the document.

For example, 550 words can easily fit into a single-spaced page. However, if the page was double-spaced, only half of those words would fit into it. 

Can Be a Waste of Paper and Ink

By using double spacing in your essay, you will end up having a lot of white spaces (blank) between lines that contain no written text.

This means that you will end up wasting your paper because lesser words will fit into it. Additionally, you will end up printing more papers in a double-spaced essay hence wasting ink.

  • Open your document in a word-processing software such as Microsoft Word or Google Docs.
  • Select (highlight) the entire text of your essay. You can use your computer’s cursor to manually highlight the entire text and then select it. You simply click and drag the cursor over the text and select it. 

To automatically select the entire text on computers running Windows Operating System (OS), you click “Ctrl + A”. For Apple’s Mac OS, you should click “Command + A”.

  • You should click on the line spacing option where you will find a dropdown menu with pre-set spacing options.

Spacing for Other Application Essays

If the application provides formatting guidelines, you should obviously follow them. Failure to do so will reflect negatively on you. So if a school says to double space with a 12-point Times Roman font, show that you pay attention to both details and instructions. Students who don't know how to follow directions are not likely to be successful college students.

If the application does not provide style guidelines, the bottom line is that either single- or double-spacing is probably fine. Many college applications don't provide spacing guidelines because the admissions folks truly don't care what spacing you use. You'll even find that many application guidelines state that the essay can be single- or double-spaced. After all, the school has an essay requirement because it has holistic admissions . The admissions officers want to get to know you as a whole person, so it's the content of your essay, not its spacing, that truly matters.

When in Doubt, Use Double-Spacing

That said, the few colleges that do specify a preference typically request double-spacing. Also, if you read the blogs and FAQs written by college admissions officers, you'll usually find a general preference for double-spacing.

There are reasons why double-spacing is the standard for the essays you write in high school and college: double-spacing is easier to read quickly because the lines don't blur together; also, double-spacing gives your reader room to write comments on your personal statement (and yes, some admissions officers do print out essays and put comments on them for later reference).

Of course, most applications are read electronically, but even here, double spacing allow more room for the reader to append side comments to an essay.

So while single-spacing is fine and will be the default for a lot of essays submitted electronically, the recommendation is to double-space when you have a clear option. The admissions folks read hundreds or thousands of essays, and you'll be doing their eyes a favor by double-spacing.

Formatting of Application Essays

Always use a standard, easily readable 12-point font. Never use a script, hand-writing, colored, or other decorative fonts. Serif fonts like Times New Roman and Garamond are good choices, and sans serif fonts such as Ariel and Calibri are also fine.

Overall, the content of your essay, not the spacing, should be the focus of your energy, and the reality is that your spacing choice doesn't matter much if the school hasn't provided guidelines. Your essay, however, is extremely important. Be sure to pay attention to everything from the title to the style , and think twice before selecting any of these bad essay topics . Unless you fail to follow clear style guidelines provided by the school, it would be shocking for the spacing of your essay to play a factor in any admissions decision.

Should Ph.D. writing samples be double-spaced? (Question for grad students and professionals)

Hey, r/askphilosophy ! I'm preparing my applications for philosophy grad schools, and I'm looking through the writing sample requirements. A lot of places don't specify if they want double-spaced writing samples - they just say something along the lines of "10-25 pages". I have a writing sample already prepared that's ~21 pages single spaced (plus footnotes), but obviously I'll have to shorten it considerably for certain programs. I'm wondering what you're advice is - if a program doesn't specify, what do you think is the norm? Obviously it's more helpful if you have some experience with graduate admissions.
